Administrative Assistant

General:

The primary responsibility of the Administrative Assistant is to ensure that the goals of the Foundation are accomplished in a professional, efficient and timely manner.  The Administrative Assistant will ensure that these goals are accomplished through the planning, management and supervision of the Foundation’s office functions.

Responsibilities:

  • Receive and process all incoming communications, including phone and mail, ensuring that all parties are dealt with in a professional and courteous manner that will enhance the Foundation’s ability to accomplish its goals.
  • Manage the organization’s calendar as well as that of the President to ensure that appointments, reports and office functions are accomplished in a timely and efficient manner.
  • Take and transcribe minutes at Board and Executive Committee meetings.
  • Assist in maintaining the Foundation’s database system to ensure that all parties are able to retrieve information in an accurate and timely fashion and have a full accounting of the Foundation’s efforts and condition. 
  • Prepare and supply information to the President necessary for preparation of meetings as well as information required for Board members and Board meetings.
  • Monitor office supplies and order supplies when appropriate, maintain accurate filing system and perform other miscellaneous general office duties.
  • Provide administrative support to Vice President for Philanthropic Services.
  • Maximize the responsibility that can be handled by this position in an effort to reduce reliance upon outside parties.
  • Operate independently to ensure sound performance and good business during periods of absence of the President from the office site.

Reporting and Support Relationships:

The Administrative Assistant reports directly to the President of the Community Foundation and works in close coordination with the other members of the administrative staff of the Community Foundation.

Successful Candidate Qualifications

  • A professional demeanor
  • At least two years experience in an administrative support position
  • Experience working with senior management
  • Excellent organizational skills
  • Excellent communication skills
  • Excellent computer skills
  • Experience with Microsoft Office
  • Transcription experience
